A group that leaves on two aircraft arrives as two events, usually twenty to ninety minutes apart, and occasionally on different days once a schedule starts moving. Booking a car per aircraft produces vehicles that arrive on time for flights that did not.

What works is a manifest rather than a set of bookings: who is on which tail, who they travel with once they land, where each vehicle goes, and which arrival is allowed to wait for which. Then one coordinator holds the whole picture and re-sequences it as the ETAs move, instead of four chauffeurs each solving a fragment.

During Grand Prix week, SXSW and ACL, Austin's private aviation traffic multiplies and the constraint moves from the road network to the ramp and the kerb in front of it. Aircraft are parked further out, guests walk further, and every operator in the city is trying to position a vehicle at the same three addresses within the same hour.

The practical answer is to arrive at the FBO earlier than the arithmetic requires and to have agreed where each vehicle waits before the day. On a race Sunday the difference between a smooth departure from Emma Browning Avenue and a twenty-minute shuffle is a decision made a week earlier.

Eight guests arriving together is not automatically a Sprinter, and it is not automatically four sedans. It depends on the luggage, on whether the party wants to travel together, and on where they are going — a single vehicle to one hotel is efficient, and a single vehicle making four drop-offs across Austin is a ninety-minute tour for whoever is last.

We will tell you which shape fits before you book it, including when the honest answer is fewer vehicles than you asked for. Nobody is well served by a fleet that spends the evening idling.

Downtown is twenty to twenty-five minutes off-peak, the Circuit of the Americas twelve to fifteen on a clear day, and The Domain thirty to thirty-five. Departure day is where group programs unravel, because everyone leaves inside the same few hours and the return legs are the ones nobody plans in the same detail as the arrival.

For a multi-day program we build the departure sequence at the same time as the arrival, working backwards from each tail's slot rather than forwards from breakfast.
