Derby guests are typically on the grounds from late morning, and the Derby itself goes to post around 6:57 pm Eastern. That is the better part of a day at the track — which makes the departure plan, not the arrival, the thing worth thinking about carefully.

The Oaks the previous Friday is a full event in its own right and is, for many corporate programs, the more comfortable of the two days: a real card, a real crowd, and materially easier access.

Churchill Downs sits inside a residential grid that closes and controls access for Derby weekend. The distance from downtown Louisville is short; the time it takes is not, and drop-off points shift with the traffic plan for that year.

We plan against the published plan for that edition — a named set-down point, a known walk, and a pickup staged away from the outbound flow after the last race. Guests in hats and heels notice the length of that walk more than almost any other detail of the day.

Derby is one of the country's most established client-entertainment weekends, and its programs look like every other hospitality program: a guest list across several hotels, arrivals spread over two days, and an expectation that nobody is asked to sort out their own ride.
