The building on Trinity came down in 2025 and its $1.6 billion replacement does not open until spring 2029, which means multi-day programs are now spread across hotel ballrooms, the Palmer Events Center and venues that were never designed to be the main room. Conference transportation in this city is no longer a shuttle between two addresses.

Planning around a missing building

The closure changes the arithmetic of a citywide. Where a program once needed a loop between three hotels and one hall, it now needs a loop between three hotels and several venues, with sessions running in parallel across addresses that are walkable in good weather and not in August or during a downpour.

The Palmer Events Center on Barton Springs Road carries much of the load as the sister facility that stayed open, which puts a river crossing between many delegate hotels and the main room. That crossing is the single most useful thing to plan around: it is short, it is unavoidable, and it is where a badly timed loop loses fifteen minutes per rotation.

Loops, not transfers

A conference shuttle program is a frequency problem. Delegates do not want a booking; they want to walk out of a hotel and find a vehicle within a few minutes, all day, without thinking about it. That is achieved by sizing the loop to the interval you promise — vehicle count, route length and dwell time — not by adding cars when a queue appears.

We build the loop against your agenda: heavier before the keynote, thinner mid-morning, heaviest again at the close and for the offsite dinner. Where a program has a VIP or speaker layer on top, it runs as a separate point-to-point service rather than being folded into the shuttle, because a speaker missing a session is a different failure from a delegate waiting four extra minutes.

Executives, speakers and sponsors

Every conference has a small group whose movements cannot be pooled: the keynote, the board, the sponsor bringing clients, the executive with a flight to make. Those are handled as dedicated assignments with a named chauffeur, flight tracking on both ends and a car held rather than dispatched.

For the sponsor layer specifically, client entertainment is usually the point — dinners, a suite, an offsite. Hourly as-directed covers that far better than a sequence of bookings, because the evening never runs to the plan it was booked against.

Arrival and departure waves

The two hours that decide how a program is remembered are the arrival wave and the departure wave. Austin-Bergstrom is twelve miles from downtown, twenty to twenty-five minutes off-peak and materially longer during March and October, and a citywide compresses hundreds of arrivals into a single afternoon.

We plan those against the actual flight manifest rather than the registration list — tracked, staged in waves, with greeters where the volume justifies one. The departure wave gets the same treatment in reverse, built around the terminal queue that a conference week produces rather than the one a quiet Tuesday produces.
